Introduction

Palletcentrale Groep BV (registered under the trade register number 50056077, hereinafter:

Palletcentrale’) and all affiliated companies within the group handle a strict privacy policy. We take privacy very seriously and treat personal data carefully and confidentially. This privacy statement indicates how we handle the data of our employees, website visitors, users of our web shop and business customers and relations.

Personal data is all data which is characteristic for an individual (also called the person concerned) or which can be traced back to an individual (natural person). There are many types of personal data. For example, name and address data but also a telephone number or information concerning race, religion or health.

Palletcentrale is controller in the sense of the General Data Protection Regulation (hereinafter: ‘GDPR‘). In that context Palletcentrale is responsible for the processing of personal data and determines how and for what purpose these personal data are processed.

We will subsequently explain in more detail which personal data we process, for which purposes, for how long and with whom we share personal data. It is also stated which rights the parties have and how they can exercise them.

Which personal data ARE PROCESSED and FOR how long?

We process personal data of below mentioned individuals:

  • Business relationships, such as suppliers and buyers / customers (insofar as they are natural persons).
  • Contacts of business relationships.
  • Visitors of our website.
  • Users of our webshop.We only process the personal data which are necessary for the purposes described below.

We strive to perform minimal data processing, which means that whenever possible we process less or no personal data and keep the personal data for no longer than necessary for the purposes of data processing mentioned below and in accordance with the statutory storage periods. The personal data will be destroyed after the expiry of the relevant storage periods.

We process the following personal data of the (natural) persons listed here below:

employees

  • Name and address data, email address, telephone number, bank account number and other contact details.
  • Date of birth, age, gender
  • Curriculum vitae (cv), information about training, internships and work experience
  • Information about training and education and / or tests the involved person has taken himself or has taken through us.
  • Data about availability and leave.
  • Nationality, BSN, copy of identity card, possible work permit.
  • Other data related to employee, salary and absence registration.
  • Data related to the concerned person’s presentation (video, photo).

To the extent that we are legally obliged to store this data, the data will be destroyed after the statutory storage period has expired.

business relations and contacts

  • Name and address data (only for the business partner), email address, telephone number and other contact details.We are obliged to keep data relevant to our records during the legally prescribed storage periods. We will delete all other personal data on request after termination of the business relationship or after the contact person has left the business partner.

Website visitors

  • IP address and the data described under ‘business relationships and contacts’, provided that this information is submitted to us voluntarily via the website.

Webshop users

  • Name and address data, billing address, email address, payment details, telephone number;
  • IP address;
  • Cookies.

use of the personal data

We use the aforementioned personal data mainly to comply with our legal obligations and to be able to perform our services to our best ability. These services include the purchase and sale of new and used pallets and gitter boxes and the repair of pallets. We also use the personal data for the below mentioned purposes.

Personal data of employees

  • Registration and processing of hours worked in our salary system.
  • Engaging and maintaining of employee relationships with the person involved and performing the relevant administration, including the payment of wages.
  • Compliance with (re)integration obligations and compliance with an obligation (imposed by the government) to assist people who encounter a larger threshold to enter the labour market.
  • To promote your personal development and employability, including training, education and tests.
  • Request for personnel related subsidies.

Personal data related to business relations & contacts

  • Recording the agreement with the client, maintaining and complying with that agreement with the client and invoicing.
  • Establishment of the agreement with suppliers and advisors, the maintenance and compliance with that agreement with suppliers and advisers.

Website visitors

  • The IP address is not used as an individual (company) entry, but only to analyse the navigation, visited pages and ordered articles of our website in order to optimise the familiarity, functionality and content of our website and email newsletters.

Webshop users

  • Handling orders.
  • Handling questions asked via the contact form of the webshop.

Other reasons for processing of personal data

  • Compliance with laws and regulations, including identification, labour legislation, fiscal and social security legislation and fraud prevention. This also includes the necessary services that are provided to us by parties with specific expertise, such as tax consultants, accountants, legal advisers and advisors in the area of ​​quality promotion.

General

There may also be other situations in which we process personal data on the grounds of a legitimate interest of Palletcentrale (for example if necessary for the execution of our day-to-day operations).

If we process your personal data on the basis of a legal or contractual obligation or to execute an agreement with you, then it is important that you provide us with the requested information. In case you don’t, we will not be able to execute the agreement we have with you or you may be in violation.

If we process your personal data based on your consent, you have the right to revoke this consent at any time. From that moment on we will immediately stop processing these personal data.

Sharing of personal data

We only share the collected personal data with third parties in support of the aforementioned purposes or if this is legally required. To whom which personal data is provided depends on the situation.

Without legal basis, we will not transfer data to a country outside the European Union.

Security of personal data

We believe that good security of your personal data is of high importance. We have taken technical and organisational measures to protect your personal data against (cyber) crime, destruction, loss or other unlawful processing. The measures taken meet at least the general requirements which are outlined for information security for an organisation such as ours. We periodically evaluate the executed measures and adjust them if necessary. If we use services from third parties, such as an IT supplier, we will make agreements about adequate security measures.
